MyPreConsult Pre-Consultation Assessment

1. Who is responsible for your data?

Your specialist clinic is the data controller for the personal information collected through this pre-consultation assessment. This means your specialist clinic decides how and why your data is used.

Sagence Health Ltd provides the technology platform (MyPreConsult) that powers this assessment. Sagence Health processes your data on behalf of your specialist clinic under a formal data processing agreement.

2. What information do we collect?

During this assessment, we collect the following information about you:

  • Your name, date of birth, and contact details (email address and/or phone number)
  • Your symptoms, medical history, current medications, and lifestyle factors relevant to your upcoming consultation
  • Your responses to validated clinical questionnaires
  • A clinical summary generated from your interview responses, which is provided to your specialist

If your referring GP has provided a referral letter, the information in that letter is also used to personalise your assessment.

3. Why do we collect this information?

We collect this information to prepare for your specialist consultation at your specialist clinic. By gathering your health history before your appointment, your specialist can review your situation in advance and make better use of your consultation time.

Lawful basis: Your data is processed because it is necessary for the provision of health care, under Article 9(2)(h) of the UK General Data Protection Regulation, read with Schedule 1, Part 1, Condition 2 of the Data Protection Act 2018.

4. How is AI technology used?

This assessment is conducted by an AI assistant, not a human. The AI asks you questions about your health and records your responses. It does not make any clinical decisions about your care.

After your assessment is complete, the AI generates a structured summary of your responses. This summary is reviewed by your specialist clinician, who makes all clinical decisions.

The AI technology used includes:

  • Google Gemini (provided by Google): conducts the interview and generates the clinical summary
  • Anthropic Claude: performs an independent quality review of the interview to check for completeness

Your data is processed by these AI systems solely for the purpose of your pre-consultation assessment. It is not used to train AI models.

You have the right to request that your pre-consultation assessment is conducted manually rather than by AI. To arrange this, contact your specialist clinic directly.

5. Who can see your information?

Your data is never sold or shared with third parties for marketing purposes.

6. Where is your data stored?

Your data is stored in the United Kingdom on Google Cloud Platform servers in London (europe-west2). AI processing is performed within the United Kingdom and European Economic Area (Netherlands, europe-west1). Your data is not transferred outside the UK and EEA.

7. How long do we keep your data?

Your data is kept as part of your clinical record at your specialist clinic. The retention period is determined by your specialist clinic in accordance with applicable clinical records management requirements.

After the retention period, your data is securely deleted from the MyPreConsult platform.

8. Your rights

Under UK data protection law, you have the following rights:

  • Right of access: You can request a copy of all personal data held about you.
  • Right to rectification: You can ask us to correct any inaccurate information.
  • Right to erasure: You can ask for your data to be deleted, subject to any legal obligation to retain clinical records.
  • Right to restrict processing: You can ask us to limit how we use your data in certain circumstances.
  • Right to data portability: You can request your data in a machine-readable format.
  • Right to object: You can object to the processing of your data, including the use of AI technology.

To exercise any of these rights, contact your specialist clinic directly.

We will respond to your request within 30 days.

If you are unhappy with how your data has been handled, you have the right to complain to the Information Commissioner's Office (ICO):

10. Changes to this notice

This privacy notice may be updated from time to time. The current version will always be available through the MyPreConsult platform. The version number and date are shown at the top of this document.
